Are you passionate about using your skills to help children in Darfur, Sudan trapped in the middle of horrendous fighting?

We are looking for an Administrator to join our small but dedicated team on a self-employed basis.  This is a flexible position needing someone determined to make a lasting difference in the world.   You will also have fun as we work together making an impact on the lives of the most deprived children in the world – those living in remote villages in Darfur, Sudan. You will generally work from home or remotely, but will need to visit our office in Dorking, Surrey, once or twice a week so will need to live within a reasonable distance.

Kids for Kids is the only charity founded specifically to help children in one of the most challenging regions of the world, Darfur, Sudan. For the past 23 years we have been transforming the lives of children through an unique package of integrated projects, working closely with the communities themselves. You will be helping transform the lives of children long term when you join our small, dedicated team.

About the contact

This is a key position as it will be your responsibility to ensure the smooth-running of the charity, enabling us to support even more children and their families with our sustainable projects.   You will be the righthand person for our Founder, assisting her with everything from drafting letters and documents, correspondence with our supporters and data entry, to organising talks across the country.

Your efficiency in keeping accurate records and communicating effectively with our supporters will contribute directly to the extent we can help in Darfur.  The administrative team is small so your position is hugely important. You must have a keen eye for detail and love administrative tasks.  Because we all work from our own homes it is important you are a good communicator sharing our team spirit and ethos.

This is a challenging, and immensely rewarding position, requiring someone who has a can-do attitude, is hardworking, efficient, has excellent attention to detail, can work in a fast-paced environment and good at managing your own time. You will interact with our donors, Patrons and celebrities as part of the public face of Kids for Kids, but most of all you will be as determined as we are to make a lasting difference to children’s lives.

Duties and Responsibilities

  • Assist the Chairman/CEO with a range of practical support tasks
  • Working closely with the Chairman/ CEO, Deputy CEO and Fundraising & Outreach Coordinator, to support fundraising activities
  • Looking after supporters, and our many volunteers, from thanking them for their donations, to keeping them up to date with the latest news from Darfur
  • In charge of the office, including maintaining office equipment, ordering supplies, filing and general office duties
  • Maintaining and updating contacts in our database, outlook distribution lists and Mailchimp
  • Updating our database with donations
  • Assisting with our move to a CRM system
  • Run reports from our different fundraising platforms and ensuring all data is inputted in the database accurately
  • Support and administration of our biannual mailings and emailing campaigns
  • Accurate maintenance of charity’s records on database, spreadsheets and other systems
  • Minute-taking
  • Diary management
  • Event administration
  • Ensuring our correspondence is kept up to date
  • Producing Gift Certificates

Candidate requirements

Essential:

  • Excellent verbal and written communication skills
  • Must be passionate about administration and keeping accurate records
  • Previous Executive Level PA experience or hands on Administrative experience
  • Must be available to work Monday-Friday during core working hours (9am to 5pm)
  • Ability to work on your own, highly efficient and work well under pressure
  • Experienced, self-motivated, enthusiastic and dedicated, with initiative and the ability to work as part of a small administrative team
  • Reliable and responsible
  • Excellent attention to detail
  • Excellent IT skills with extensive experience of Zoom, Teams and Microsoft Office including MS Excel – ability to use spreadsheets, input basic formulae and remove duplications
  • Excellent research skills

Desirable:

  • Experience of MS Access – data input and ability to run queries and reports
  • CRM/ Fundraising / Events experience
  • Experience working within Charities and not for profit organisations

Location & commitments:

  • Self-employed role as the hours may vary, but hours will normally be between 25 to 30 hours per week
  • Hybrid – home based with up to 2 days a week in Dorking
  • £12-£15 per hour commensurate with experience
  • You must have a laptop (not Mac) and Windows 11, MS Office including Access, Publisher, plus a good colour printer and fast internet.
